Who are we?
Entrymaster powers over 500 organisations including equestrian societies and agricultural events across the UK and is especially known for its bespoke software services. We have a dedicated Pony Club team working to support a bespoke platform built especially for your Branch needs.
Integration
The system automatically adds your event details to Pelham, instantly checks members’ eligibility, adds results and updates event changes at the press of a button.
Since launching the Pony Club system in 2022, we have successfully onboarded and continue to support over 180 Pony Clubs with online entries and tickets.
Over the past four years, Entrymaster has grown and evolved. We pride ourselves on listening to our customers and continually improving the system to meet the needs of the Pony Clubs which use it.
Keep in Contact with your Members
It’s not just an online entry system……it’s a database of all your contacts, you can email your members, non-Pony Club entrants, committee, or coaches anytime, subject to GDPR preferences. All your contacts and entries are in one place; you have the facility to give various committee/secretaries access to the back end of the system, this can be limited depending on the role they have within your branch and you have total control over this as a Branch.
Entrants – Speed, Convenience & One Transaction
The Pony Club entry system boasts an impressive number of features designed to make it easy for entrants to enter via a mobile phone, tablet or computer in a few clicks. A list or monthly calendar of your branch events enables members to clearly see all the options available.
Information is stored to view future entries made and transactions together with history of attendance and achievements readily at hand. Parents can also enter as many rallies and events as they wish all in one transaction to save time and to save repeating inputting of information.

Over the past few years, we’ve added a wide range of features to make event management smoother and more efficient. These include, but are not limited to:

- Registered Users Only access – This encourages parents to register and create a
profile, cutting down on mistakes when entering and making entering easy or you
can allow them to free form enter. - Email Log – see who has received or opened/read sent emails
- Improved Reporting – i.e. to assist PC treasurers & end of year attendance
- Waiting List functionality – enables organisers to collect wait list entries and
approve them, sending an email for them to pay when a space becomes
available - Team Manager Access to organize teams and individuals for any Branch/Area/
National competition - Team Competition Event Types – enabling payment for the whole team and the
option to omit member details, ie Games Competitions where they don’t know
who will be there until nearer the time. - Stabling and any Extra Options
- Moving an entry to another event to avoid refunding
- Entry limits for ticket events
- API Bridge with Pony Club Results – Data automatically available for scoring
- Check Dive Certificate data using our dive certificate report, where the data is
taken directly from Pelham.
Entry Forms for Everything
Organisers use event type templates which have pre-fixed questions which can be copied for ease of setting up the same or similar events in future or can be tailored as required. Being totally flexible, each branch can ask any question on an entry form. Choose question types from free form answers, yes/no, list or multiple choice, numerical and you can ask for information to be uploaded for checking. All questions can all be made mandatory or optional depending on your needs, making the most complex of events easy to organise.
We don’t just collect information for rallies, you can create a form with multiple price options, classes/sessions, eligibility and ticket options even collecting extras such as menu choices and dietary requirements.
Once the event is open for entries, you will be able to view all the details in Pelham and, crucially, update any Badge or Test successes automatically. Membership validation will be in place for PC Members, saving your organisers and secretaries hours of checking memberships before an event.
Entrymaster & Stripe Fees
We provide the software and look to the class leading and safe processing of money through a partnership with Stripe:
- You will receive a unique branded Pony Club system for your branch, we add your branch Stripe bank account, so you stay in full control of your events and finances
- Entrymaster website cloud hosting is partnered with IBM Cloud and located in the London data centre
- Stripe charge: 1.5% plus 20p of the transaction amount, the remainder of the transaction amount is added to your Stripe Bank account,
Monies can be transferred on to your branch bank account every day, week, two weeks or monthly as you choose.
Note: Most branches absorb this charge from the cost of the rally however Entrymaster does allow you to add the Stripe fee to the cost of the rally if you wish.
- Information in your Stripe account is mirrored in your Entrymaster pages with a wealth of reports for the treasurer
- Its user-friendly software however we offer individual phone/email support as well as group training and a user guide
- Entrymaster Service Fee – We offer the most cost-effective service for entrants at £1 (£1.50 for all events for Entries after 18th December) per event regardless of the number of entries or riders. This fee is added to the cost of the event and is taken at the point of transaction.
Note: Entrymaster does allow branches to absorb this fee from the rally cost if they wish.

- No charge for refunds or cancelled places
- No charge for you to add postal entries or amend/move entries to an alternative event
- Take card payments yourself over the telephone (if you wish)
- Fully managed event entry service available at an additional cost of £25 per month
Pre-Event Information
- Pre event options including sort orders, allocating competitor numbering automatically, adding times, class lists, steward sheets
- All entrants receive an event confirmation which you can tailor as required
- Email times or publish times to your home page
- Add Team names – limited access to this page may be given to Area representatives to create teams from their own branch member entries to specific events
- Create labels, print out entry statistics, tickets etc.
- Entries can be uploaded free to Pony Club scores software
Results
- Add any result or attendance to link to Pelham
- Add information for future reference ie: First aid notes
