What is a Contact?

In PELHAM, there is ONE record for a “contact” whether they are:

Member – someone with an active Membership

Expired Member – someone with an expired Membership

Member Administrator – the parent/guardian linked to the Member(s)

Coach – someone who has the Coach Role attached

Assessor – someone who has both Coach and Assessor roles

Volunteer – someone who helps out at the Branch and has Volunteer role

Branch Official – Committee member or specific role (e.g DC) attached

Once a contact is created they can then be assigned “hats” such as Coach, DC, Member Administrator or will have a Membership associated. 

Other records can be added against a contact such as badges or tests achieved by members.

This means when any contact details change they will only have to be updated once in PELHAM. Maintaining a single source of truth.

TOP TIP – Wearing Multiple Hats

Its important to remember that Contacts can wear multiple different ‘Hats’ Meaning that a single contact can be an active member, expired member, parent, guardian, coach or volunteer. An individual contact can be allocated more than one contact role.

How to view and edit details of an existing contact

Firstly, you need to select the individual’s contact, this can be done from the main Branch Summary Page or using the search option at the top of the screen.

TOP TIP – the best way to find a contact is using their unique Pony Club ID Number!

Contact Page – Summary Tab

This tab contains the following information about a contact:

  • Basic information – Title, First Name, Surname, DOB etc
  • Contact Details
  • Emergency Contact Information
  • Email Address
  • Membership Information
