How do these work?

These booking systems have their own Pony Club specific versions which will include the ability to upload the rally/event data to Pelham, share the link on Branch websites, carry out a membership validation check at the time of booking and send attendee data to Pelham after the rally/event. 

Features:  

  • Membership validation check that participants have an active, current membership
  • Rallies and events advertised on 3rd party system websites and on Branch/Area websites as desired
  • Rally/Event created in Pelham
  • Attendance recorded in Pelham so you have a record of who attended what rally
  • If Badge or test, Pass/Fail updated in Pelham easily and added to member’s record

Events sent back to PELHAM

On event creation, once the event is published the event information is sent to PELHAM.

The Website calendar will then be automatically updated based on the provided information.

Once the event has happened, depending on the entry system you are using, you must complete the process to send the attendee information to Pelham by clicking the relevant button. 

Automated process will pick up any events completed that have not been sent to Pelham and send them one month after the event has completed. 

How to move to a New or Pony Club compliant Online Booking System

1 – Select your provider

A Key Features document will be provided with high level overview of the options offered by each provider and the cost to organisers / parents to book onto rallies.  This will be  updated as additional providers are added. 

For further, detailed information please visit the provider websites and/or contact them directly. 

Remember, it is fine to try a couple of systems before settling on your preferred, and it is also fine to choose one for rallies and a different one for competitions, as many of our Branches do.  However, once all the providers have been added you MUST use one of them unless you choose to manage your events manually in which case you need to complete the PELHAM events system manually. 

2 – Onboarding Process and Training

All of our providers will give full training in the entry system along with Pelham training provided by The Pony Club.  Each Branch will have their own contract with the provider detailing how they wish to use the entry system and collect payments. 

Entrymaster and HorseMonkey use STRIPE as the payment gateway – details on how to set up a Branch Stripe account can be found here.

Further details will be provided as the entry systems become available for use.
